CRM systems are currently very popular with business. Rather than having multiple databases with lots of duplicated contacts, the idea is to have one contact for each customer or sales prospect with a list of all the transactions between the company and that particular contact. This gives any member of staff the ability to see exactly what has gone on with that account and also avoids the expense of sending multiple marketing communications to the contact.

If an existing record is found then the details are updated and the new form or order is appended to his/her record. This ensures that databases are kept as clean as possible.
